Industrialized data management gives UK bank confidence in data protection compliance

Since the EU’s General Data Privacy Regulation (GDPR) was introduced in 2018, some UK companies have faced fines of up to €20 million, or 4% of annual worldwide revenues, for violation of data protection regulations.

In an initiative-taking move to reduce the risk of violating these regulations, one of the largest business and commercial banks in the UK wanted to implement compliance with GDPR as part of an ongoing program to improve transparency, accountability, and security, and to limit the amount of data stored. The bank needed three outcomes: a sound methodology and systematic way of identifying and deleting personal data no longer needed for a specific business purpose; better visibility and control; and the ability to easily demonstrate compliance.

Security New Software’s Information Governance specialists worked in close partnership with the bank’s record management specialists, to design a business methodology and framework for the systematic deletion of records mapped to the bank’s retention policies and schedule.

Deletion of over-retained data is a complex problem

Different retention and deletion rules are in place for multiple districts and record types, such as CEO meeting notes, account closures, loan applications, and staff records. Adding to this already complex problem, data and documents are stored in many different systems, adding the challenge of determining who is responsible for record retention and deletion.

Most organizations use the approach of anonymizing data due to concerns over excessive deletion and the ability to identify all relevant data that should be deleted. Instead, the bank wanted to be a leader in systematic industrial deleting.

With the increasing focus on environmental, social, and governance (ESG) issues, we reduce the size of the data we store by systematically deleting records. This not only reduces data storage costs but also impacts the bank's carbon footprint.

Business Outcomes Drive Solution Design

The bank was struggling to determine how GDPR compliance should be applied. The sheer number of systems (1,000+) and the complexity of how data is connected make him fear deleting data in one system without understanding the potential impact on other downstream systems.

Security New Software Technology has proposed an approach that allows banks to apply already mature record-keeping practices. First, we understood each business process and broke it down into components that we could address by developing a core dataset orchestration engine. A detailed understanding of business processes, products, and customer interactions helped decipher the complexity of interconnected data, providing clear data lineage and facilitating erasure.

Account closure-associated data may be deleted from all systems

Component-based technology solutions were developed using a combination of off-the-shelf software and IP designed to manage and automate specific processes. Deletion is automated, but manual verification is built in as a security measure. Ownership of business records data attribution rests with three primary parties representing business, records management, and technical delivery. The final decision to delete data rests with records management professionals. Manual validation, supported by automated recommendations, complements system decisions, thereby improving timeliness and accuracy. Once the deletion decision is approved, the system will automatically delete the data based on the data mapping already created.
